General Summary
The BY YOUR SIDE Manager - Scheduling is responsible for all maintenance, coordination, and communication of scheduling for BYS clients and therapists.
The Manager - Scheduling is responsible for ensuring accuracy and efficiency of scheduling while focusing on cancelation mitigation, rescheduling of missed therapy hours, and proper utilization of the Lead – Behavior Technician Support.
The Manager - Scheduling operates in a professional and clinical environment. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds. Essential Functions, Duties & Responsibilities
Responsible for ensuring accurate and effective schedule for BYS clients and therapists.
Daily and weekly scheduling audits to ensure accuracy.
Primary contact for communication and collaboration for advance scheduling changes to both parents and therapy team.
Ensuring the center maintains at or below target cancellation rate by rescheduling and providing other ideas for mitigation of canceled hours.
Monitoring and ensuring utilization targets of full and part-time therapist.
Directly oversee and manage the Lead - Behavior Technician Support.
Creation of new client and new hire schedules in collaboration with respective clinical management.
Tracking and inputting of therapist time off request, blackout dates, and advanced offloading.
Reviewing and approving clinical time off requests and payroll timecards
Parent collaboration regarding attendance, vacations, and changes in availability, while staying in line with policies set in place per parent agreement.
Responsible for maintaining appointments based on authorization and visit limits, as applicable, notification of clinical and billing team when scheduling outside of authorization limits.
Tracking and enforcing appointment conversion policy.
Skills Required
Bachelor's degree (preferred)
Two (2) – Three (3) years of experience in related scheduling required. Experience in the autism industry if preferred.
High interest in working with children on the autism spectrum
Flexibility and dependability with schedule
Ability to work effectively and efficiently with changing priorities and deadlines.
Must possess strong analytical and problem-solving skills.
Reliable transportation and the ability to travel as needed (valid driver’s license and vehicle insurance).
Excellent time management skills with the ability to multi-task, prioritize, execute on deadlines, and produce high-quality deliverables with attention to details.
Proficiency in Microsoft Office Products.
Other duties/special projects as assigned.
