VP-Clinical Operations

General Summary

The BY YOUR SIDE VP - Clinical Operations reports directly to the COO and is responsible for BY YOUR SIDE centers' administrative and therapy operations. The VP-Clinical Operations ensures the region is productive and efficient by ensuring the centers are meeting company goals and objectives.

The VP - Clinical Operations is responsible for implementing effective methods and strategies to ensure continuous center performance and efficiency improvement. Leadership skills, strong written and verbal communication, attention to detail, and flexibility of schedule are a must.

The position is a full-time position and hours of work and days vary based on the needs of clients/business. Occasional evening and weekend work may be required as needed.

The VP - Clinical Operations operates in a professional and clinical environment. The employee must be able to lift and move up to 10 pounds, frequently lift and move up to 25 pounds and occasionally lift and move up to 50 pounds. The Director – Operations is expected to visit instate clinics frequently and out of state clinics monthly. Salary: $110-$120K Annually Based on Experience

Essential Functions, Duties & Responsibilities

Core duties and responsibilities include the following:

  • The department is ever-growing, requiring a strategic, quick-thinking leader to review, recommend, and implement process changes.
  • Process & Policy development is typically regarding center maintenance, emergency operations plans, intake and enrollment, health and safety, and other administrative functions.
  • Oversee Center Directors at centers within assigned region, including a combination of on-site and remote support.
  • Oversee the development of the annual budget for each center in assigned region and ensure each center operates within the approved budget.
  • Create and implement workflows and processes to enhance efficiency and efficacy of organizational procedures.

Process & Policy Development

  • Collaborate with Talent Acquisition to maintain appropriate staffing in assigned centers, including assisting with recruitment and community outreach initiatives, candidate interviews, and onboarding as needed.
  • Meet or exceed performance objectives for centers within assigned region.
  • Become familiar with organizational technology platforms and leverage technology solutions to optimize clinical and operational processes and improve client and center outcomes.
  • Knowledge of BYS core principles and values and ensures alignment with clinical and operations processes and procedures.

Collaboration & Communication

  • Effectively communicate and collaborate across all BYS departments and disciplines.
  • Able to effectively communicate and disseminate information to stakeholders and employees.
  • Collaborate with recruitment, hiring, onboarding, and overseeing training and orientation of all staff members, ensuring open hours are closing as quickly as possible and that staff are poised to meet productivity expectations.
  • Collaborate with the BYS University team to develop and implement effective training programs as needed.

Business Metric Driven

  • Oversee intake, enrollment, clinician utilization, and cancellation mitigation.
  • Oversee and manage center-specific budgets and expenses for their region.
  • Ability to recognize trends, predict future metrics, and intervene to adapt and change processes to promote successful center operations.
  • Ensure timely conversion of behavior technician and clinician soap notes and submission of clinician reports.
  • Monitor onboarding timelines to ensure new hires receive RBT certification within specified timeframes.

Coaching & Development of Team Members

  • Provide mentorship and oversight to team members in assigned centers to ensure effective and efficient office operations, optimal performance, and a continued focus on improving quality care.
  • VP-Clinical Operations will visit out-of-state locations quarterly at a minimum or as needed.
  • Collaborate with Senior Clinical Leadership and BYS University to ensure effective and sufficient professional development for clinical teams within assigned centers

Center Oversight & Responsibility

  • Perform administrative and operational support tasks for the operations and the clinical team which may include but not limited to front desk coverage, new hire orientation, and handle employee relations.
  • Responsible for providing an exceptional parent experience, beginning with the intake process through conducting consultations, parent tours, and building an ongoing rapport.
  • Oversee the center environment, maintenance, organization, and safety for all.
  • Demonstrate initiative to improve quality and customer service by striving to exceed client expectations in their region.
  • Maintain and ensure standardization in all BY YOUR SIDE Centers across the region in collaboration with other Directors and BY YOUR SIDE Leadership of Therapy, Billing, Marketing, and Human Resources Departments.
  • Coordination of vendors, communication, and quotes for all center maintenance tickets
  • Support the opening and launching of new markets in or out of state.
  • Create a culture of innovation, learning, teamwork, and professionalism, consistent with the mission of BY YOUR SIDE.
  • Other duties or Special projects may assigned.

Skills Required

Include demonstrated competencies and physical, mental, & interpersonal skills.

  • Bachelor's degree or greater.
  • Minimum of 10 years of experience in clinical operations management, with at least 5 years in a senior leadership role preferred.
  • High interest in working with children on the autism spectrum.
  • Flexibility and dependability with schedule including occasional traveling within different centers including out of Maintain updated familiarity with regulations and standards in the ABA field, including billing procedures, documentation standards, and ethics guidelines
  • Strong leadership and interpersonal skills.
  • Excellent organizational and problem-solving abilities.
  • In-depth knowledge of ABA regulations and standards.
  • Proven track record of driving measurable efficiency results.
  • Ability to work effectively and efficiently with changing priorities and deadlines, from remote location(s).
  • Must posses strong analytical and problem-solving skills.
  • Reliable transportation and the ability to travel as needed (valid driver’s license and vehicle insurance).
  • Strong verbal, written communication, and collaboration skills.
  • Proficiency in Microsoft Office Products.
  • Must be able to communicate effectively and problem-solving skills.
